NYLC Exhibitor Package Includes:

Booth & Distribution Specifics
Platinum Booth
Size: 8 wide x 8 long – Request a double booth for even more space!
Location: In the main hallway where auditorium doors are located
Gold Booth
Size: 6 wide x 8 long – Request a double booth for even more space!
Location: In main exhibitor area

All Booths
Limited Electricity: Electricity is available upon request for an additional fee. Electricity is limited and only available on a first come, first serve basis.

Supplied: One table with two chairs. The Platinum tables are 8’ and the Gold tables are 6’.

Display: You will be responsible for any backdrops, tablecloths, table skirts or additional visual display.

Restrictions: There is no official height restrictions, but please be cautious of fire hazards or the possibility of damage to walls or ceiling. We cannot accommodate exhibits wider than the designated width of your booth unless you purchase multiple booth spaces. Any NYLC Exhibitor whose booth set-up interferes with other displays may be asked to dismantle part of their exhibit. Please be sure that your exhibit team is able to assemble your exhibit as only registered NYLC Exhibitors will be allowed in the exhibit area prior to the conference.

Security: Booth security is the responsibility of each NYLC Exhibitor. Please plan to cover your display when not exhibiting and remove any key items overnight. NYLC is not responsible for loss or damage to booths, distribution items or other supplies.

Distribution: Due to state and county health code regulations, no food or beverages may be distributed by exhibitors. NYLC Exhibitors may handout brochures and other free materials from their booth. NYLC Exhibitors are also allowed to sell items from their booth. There is NO PERCENTAGE PER SALE FEE. If you are unsure of an item you are considering using, please contact the NYLC Exhibitor Coordinator beforehand at exhibitors@nylc09.com.

Sharing Booth: NYLC Exhibitors may only share their exhibit booth with organizations which have completed the NYLC Exhibitor application and have been approved by NYLC. Organizations that have not been approved will be asked to leave the exhibit area.

Criteria for Exhibitors
NYLC is a conference specifically focused on youth ministry by youth pastors and leaders. To better serve and equip our attendees, exhibiting organizations should also have this focus both in their vision and content. Your organization will be evaluated according to these guidelines when being accepted as an NYLC Exhibitor.

The National Youth Leaders’ Conference reserves the right to refuse any exhibiting organization if it deems the focus of the organization to not be an appropriate complement for youth ministry, whether in focus, vision or presentation.

Setup & Tear Down
Setup: Monday, March 30 from 10am-6pm
Tear Down: Wednesday, April 1 from 6-10pm

Registration Process
Complete and return the NYLC Exhibitor application along with your $150 deposit.
You will be notified of your acceptance within 10 days of receiving your application.
If accepted, send your remaining booth fee deposit by March 1, 2009. If you are not accepted, your $150 deposit will be refunded with 30 days.
Book your hotel through the NYLC website at www.nylc09.com.
Promote NYLC before the conference.

Cancellation Policy
If the cancellation of the booth occurs before March 1, 2009, the price of the booth minus the $150 deposit fee will be refunded in the form of a check. Please notify us in writing of your wish to cancel. Booth fees are non-refundable after March 1, 2009.
